St. Anthony’s Parish has been a center of faith, and a community gathering place for parishioners and others throughout West Vancouver and Howe Sound for the past century.

The Administrative Assistant is responsible for a wide range of administrative duties, including secretarial and receptionist functions as well as other tasks associated with the position. As the primary contact and “face” of St. Anthony’s Parish, the Administrative Assistant is the critical link between the Pastor and the parish community, and therefore carries out all duties in a professional, courteous, efficient and compassionate manner. 

Responsibilities

  • Welcoming and assisting all who come into the parish office, as well as those who reach out by phone or email, redirecting people and taking messages as needed;
  • Receiving and recording mass intention requests and issuing Mass cards;
  • Managing the parish and pastor’s calendars including all relevant events such as weddings, baptisms, funerals, RCIA, Alpha, Project Advance, etc.;
  • Entering parishioner registrations in the parish database; 
  • Recording sacraments in the sacramental registers and creating sacramental certificates;
  • Tracking all money received at the parish office, safeguarding and protecting the security of the parish while doing so;
  • Bringing scheduling conflicts to the attention of affected parties. Organize set-up needs for parish events and programs with the custodian;
  • Coordinating Supplies, materials, and the organization of the parish office and church foyer;
  • Maintains all primary methods of parish communication such as the bulletin board, parish website, and others as necessary;
  • Designing and preparing various parish materials on a regular basis including flyers, posters, the weekly bulletin, Sunday Prayers of the Faithful, and others as needed;
  • Writing letters and other correspondence on behalf of the parish;
  • Creating income tax contribution receipts in collaboration with the parish Bookkeeper;
  • Preparing the Annual Spiritual Report and any other reports that may be requested by the Pastoral Centre;
  • Facilitates the upkeep and maintenance of all parish facilities in coordination with the custodian and pastor;
  • Schedules annual inspections and other maintenance activities regarding safety in consultation with the Building Committee;
  • Keeping a log of parish keys usage for various parish facilities;
  • Complete all additional or related duties as assigned.

Desired Skills and Experience

  • Minimum of two years of previous work experience in a similar role;
  • Excellent computer literacy and proficiency;
  • A strong understanding of the Microsoft Office Suite in particular: Outlook, Word, Excel, and Publisher;
  • Superb verbal and written communication skills;
  • Ability to maintain confidentiality of files, documents, and general information and exercise a high level of discretion;
  • Superior time management and multitasking skills;
  • The ability to prioritize tasks with minimal supervision;
  • Professional and positive work attitude;
  • Ability to work collaboratively with a diverse set of stakeholders;
  • Takes initiative to anticipate the needs of the parish and Pastor; 
  • Knowledge of Paritek and Corel Draw is considered an asset.

Working Environment

  • Opportunity to work in a faith-based, team environment;

  • Working hours are 9:30 AM – 4:00 PM, Monday to Friday with a 30 minute unpaid meal break (30 hours per week)  
  • Hourly range: $23 to $25 per hour.
