The Executive Assistant (EA) to the President of Corpus Christi College oversees the operations of the President's Office, ensuring efficient workflow. They handle various administrative tasks and event coordination. This includes managing external and internal communications on behalf of the President, offering secretarial support for meetings chaired by the President, and taking a leadership role in organizing events for the Office. 

The Secretary for the Board of Directors manages the organization and administration of the Board of Directors, including governance records and compliance matters. Acting as a crucial link between the Board and College administration, the Board Secretary provides guidance to both the Board and the President/Principal on governance, policy development, implementation, and protocol. 

Expectations and Responsibilities: 

Executive Assistant, President/Principal’s Office 

  • Serve as the primary point of contact for the President/Principal’s Office, upholding professionalism, courtesy, and confidentiality at all times. 
  • Efficiently manage incoming appointment and meeting requests for the Office, handle email and phone communications in a professional manner, and coordinate the President/Principal’s calendar.  
  • Foster collaborative relationships with College departments and external stakeholders, including the Board of Directors and donors. 
  • Ensure seamless execution of events organized by the President/Principal’s Office. 
  • Maintain and coordinate the institutional calendar, other ad-hoc projects as needed. 
  • Arrange travel arrangements as needed for the President/Principal. 
  • Ensure effective budget management for the President’s Office. 

Secretary to the Board of Directors 

  • Distribute meeting agendas to all Board Members in advance, seeking input and updates as necessary. 
  • Record and distribute minutes from all Board meetings and ensure the safety and accuracy of all Board records. 
  • Efficiently manage the Board's meeting schedule and coordinate logistical arrangements. 
  • Spearhead the organization of the Annual General Meeting and facilitate smooth Board elections. 
  • Communicate Board and Committee decisions to those required to implement them, ensuring that actions and tasks assigned are managed appropriately and to the required timetable, reporting back as required. 
  • Aid the Board Chair to facilitate the induction and development of new  Board members  
  • Keep up to date on relevant governance matters, practices, and trends, advising the Board on any changes, where appropriate 

Skills and Qualifications: 

  • Post-secondary degree in a relevant discipline such as Business Administration; with three to four years of experience in complex, multi-stakeholder organizations, with applicable work experience in administration; or an equivalent combination of education and work experience 
  • Professional demeanor with excellent oral, written and interpersonal skills and strong attention to details 
  • Exceptional time management and organizational skills, ability to multi-task 
  • Demonstrated ability to communicate effectively with diverse audiences and stakeholders 
  • Ability to work independently or as part of a team in order to meet deadlines and achieve project goals 
  • Ability to exercise a high level of judgment, discretion and confidentiality 
  • You may be required to work evenings and weekends for events and meetings
