The Executive Assistant (EA) is responsible for carrying out specific responsibilities as designated by the Academic Dean at Corpus Christi College and the Dean of Theology at St. Mark’s College. The EA can expect a wide range of duties and responsibilities in a fast-paced, faculty and student focused environment.   

Expectations and Responsibilities: 

The successful candidate will be primarily responsible for the following tasks, but not limited to: 

Administrative 

  • Manage appointment requests, respond to inquiries, and oversee workflow within the office. 
  • Provide comprehensive administrative assistance to the Academic Dean and Dean of Theology.  This may include directing student complaints/concerns to the Deans, preparing cheque requisitions, etc.  
  • Assist in the coordination of reports from the Deans’ Office. 
  • Research/collate date for the Deans re: various Academic Reviews. 

Human Resources 

  • Receive, collate, and coordinate faculty applications and contract management. 
  • Coordinate interviews, maintain filing systems, and liaise with Finance regarding salary matters. 
  • Liaise with the Finance and HR Office in faculty/teaching assistant related matters as necessary.  

Academic Cyclical Responsibilities 

  • Manage and communicate important deadlines in the Deans' Office. 
  • Coordinate course evaluations, syllabi requests, and textbook ordering. 
  • Maintain faculty email lists, troubleshoot issues, and respond to inquiries as necessary. 

College Events and Meetings 

  • Assist in organizing academic committees and meetings chaired by the Deans. 
  • Coordinate faculty teaching observations and academic reviews. 
  • Provide logistical support for various events and projects organized by the Deans’ Office. 
  • Assist with other College events (e.g., academic conferences) when needed.  

Skills and Qualifications: 

  • Ability to be self-directed on cyclical tasks and get them done in a timely manner. 
  • Ability to accept new tasks into that mix – possibly with time pressures attached. 
  • Ability to work well with students, faculty, and leaders at the College. 
  • Knowledge of Word, Excel, Qualtrics, etc. an asset. 
  • Good written communication skills are essential. 
  • Prior experience working in an administrative setting an asset. 
  • Commitment to the mission and vision of the Colleges.
