This role encompasses a range of responsibilities within Operations (liaising with the Property & Infrastructure Group) related to Archdiocesan operational matters.
Responsibilities
Reporting to the Archbishop’s Delegate for Operations and working with the Director for Property & Infrastructure, the Facility Manager will:
- Manage all aspects of building maintenance, using input from the Delegate of Operations and Director of Property & Infrastructure (P&I) for select buildings managed by the RCAV.
- Manage and administers service contracts and capital renovations, including developing tender documents and supervising the performance of external service providers. Checks to ensure that work is completed in accordance with requirements and specifications.
- Monitor the condition of buildings and initiates action to improve deficiencies. Works with Building Operations on associated reactive and preventative maintenance.
- Facilitate the repair, maintenance, and installation of user equipment, products, materials and furnishings.
- Prepare, forecast and execute facility management and custodial services workplans and budgets for archdiocesan properties as required;
- Develop prioritized annual maintenance programs and schedules from Facility Condition Assessments and project maintenance manuals.
- Prepare and maintain vendor lists.
- Support good customer service by providing timelines to departmental managers for special maintenance and small projects.
- Maintain departmental & project files, including blueprints, building manuals and warranty information and maintenance manuals. Coordinates provision and updating of files with consultants, vendors and contractors.
- Track, monitor and analyze data related to maintenance, safety and sustainability and shares these metrics to assist department staff in making informed business decisions.
- Prepare status reports of projects, communicating relevant information.
- Liaise with the Project Manager to closeout projects: confirm proper completion of commissioning, training, maintenance manuals and record drawings.
- Process invoices and track budgetary costs.
Safety, Risk Management & Sustainability
- Develop, implement, and maintain all risk management and safety protocols including WorkSafe standards, participant safety, facility safety plans, policies and staff training. Maintains rigorous safety procedures, with comprehensive documentation.
- Ensure employees are working in a correct, safe manner, and are trained in regard to all necessary safety and environmental regulations, standards, practices and procedures.
- Provide leadership and guidance on policies, procedures, guidelines and standards on Operational Health and Safety procedures and protocols.
- Coordinate and identify opportunities for Facilities to improve all aspects of sustainable operation related to Climate Change Action.
Facility Administration & Staff Management
- Create and manage processes to safeguard master keys or other keys controlled by the Facilities division, and that building security systems are properly maintained, and provide reasonable protection for residents, guests, visitors, staff, and the RCAV’s assets from both fire and theft.
- Identify and document patterns in reoccurring issues related to facilities, services and booked event coordination. Assesses and develops approaches for standardized processes, workflow and issues resolution. Resolves complex and sensitive issues on a regular basis.
- Supervise, coordinate, train and schedule custodial staff, groundskeepers, landscapers, and laborers for assigned facilities.
Desired Skills and Experience
- Journeyperson Certification in an appropriate trade with successful completion of a building services management or building maintenance program at a technical institute is preferred or a university degree or an equivalent combination of on- the-job training & work experience.
- Minimum of three years’ experience or the equivalent combination of education and experience (maintaining or managing facilities in a municipality or similar is preferred).
- Literacy in architectural and construction drawings are required.
- Ability to work effectively independently and in a team environment, and to bring energy, motivation and leadership enthusiasm to the job.
- Ability to exercise sound judgment, multi-task, prioritize and work effectively to meet deadlines.
- Ability to take initiative, analyze problems, identify key information and resolve issues.
- Ability to carry out negotiations and interest-based conflict resolution.
- Demonstrated skills and competencies in planning, organization, and project management; leadership and team development; facilitation; and customer service.
- Computers skills including working knowledge of Microsoft Office Suite, DDC and FM software.
- Able to lift or move heavy objects of approximately 50lbs.
- Knowledge of pertinent WCB and OH&S standards and strong knowledge and experience relating to federal and provincial legislation, acts and regulations related to building systems.
- Strong verbal/written communication and listening skills, able to determine relevant facts to present clear, concise and well-reasoned facts and information.
- Critical thinking, analytical reasoning, decision-making and problem-solving skills; understanding of contractual terms and conditions for both construction and design, and its impact/risks.
- Strong attention to detail and processes.
- Sound judgment, tact and diplomacy in all dealings with internal/external parties; able to build trust and credibility by adhering to RCAV principles and values.
- High standards of discretion/confidentiality, initiative, professional conduct and ethical behaviour; and
- Class 5 license and access to own vehicle (mileage reimbursed).
Working Environment
- Some evening and weekend meetings will be required.
- Ability to meet Safe Environment requirements.
- Salary Range: $88,000-$108,000
