Job Description
The Ministries and Outreach Office (M&O) is looking for a full-time administrative assistant to provide support to our Marriage Formation program (4 days) as well as other program support (1 day). This position is essential to the success and smooth operation of the program and requires a person who is goal orientated, highly organized and has a desire to use their skills and talents for the benefit of our marriage ministry.
Responsibilities
This is an opportunity to engage with couples on their journey towards marriage by supporting the Coordinator and the program with registration, event set-up, and administrative support. Some responsibilities will include, but are not limited to:
- Receiving and coordinating registration for Marriage Formation courses;
- Responding to inquiries and requests regarding the courses from participants;
- Sending out communications related to the programs to participants as needed;
- Enrolling couples in assessments, and scheduling meetings between couples and facilitators;
- Coordinating volunteers and presenters for courses, programs, and events;
- Setting up for Marriage Formation courses online and in-person sessions, including setting up course venues audio visual equipment and hospitality tables;
- Working with the Communications Office to update webpage & registration pages;
- Purchasing materials and supplies for courses;
- This position will also assist other programs, projects, and events in the Ministries & Outreach Office one day per week.
Desired Skills and Experience
Experience, education and training
- A minimum of three (3) years of previous experience in an office environment;
- Experience working on programs or courses including;
- Assisting with scheduling, troubleshooting, and keeping a Coordinator informed and updated;
- Assisting the Coordinator with managing documents, tracking activities and tasks, and managing deadlines;
- Experience working with Salesforce or another CRM is preferred;
- Professional experience managing a highly-detailed Outlook Calendar.
Knowledge, skills and abilities
- Ability to learn on the job and take initiative in a fast-paced environment;
- Strong organizational skills with the ability to prioritize, multi-task and meet tight deadlines;
- Excellent written and verbal communication skills;
- Confidence connecting with a variety of stakeholders, including parish coordinators, pastors, and couples in all stages of their vocation;
- A strong desire to serve couples withing a servant leader framework;
- Knowledge of/Willingness to learn Church teaching relating to marriage;
- Proficiency with the Microsoft Office Suite, in particular Outlook, Word PowerPoint and Excel.
Working Environment & Conditions
- This is a full-time position: Core office hours are Monday-Friday 9:00-4:30;

- Weekend and evening work will be required, flexibility in schedule is required from time to time to accommodate program requirements;

- Hourly Range: $26.16 - $32.13
