Job Description
This position provides administrative assistance in maintaining the day-to-day workflow of the Archbishop’s Office as directed by the Archbishop’s Executive Assistant. This includes sorting incoming correspondence, responding to inquiries, liaising with parishes, coordinating the Archbishop’s travel arrangements, and other related duties and projects.
Key Duties & Responsibilities
The Administrative Assistant assists in maintaining the day-to-day workflow of the Archbishop’s office by:
- Supporting the Archbishop and the Archbishop’s Executive Assistant as directed;
- Responding to telephone, mail and email inquiries;
- Preparing and distributing agendas and materials for meetings, including coordinating catering arrangements;
- Coordinating scheduling needs with multiple stakeholders, balancing dates, priorities and availability;
- Arranging travel and accommodations for the Archbishop;
- Researching and preparing drafts for correspondence and reports;
- Assisting in the coordination of Archdiocesan events;
- Providing coverage for the Archbishop’s Office in the absence of the Executive Assistant;
- Other duties and projects as directed.
Desired Skills and Experience
Experience, education and training:
- A minimum of two (2) years of experience in a highly professional office environment;
- Proven experience producing business correspondence and documents;
- A bachelor’s degree or higher in business administration or a related field is considered an asset.
Knowledge skills and abilities:
- Ability to represent the Archbishop’s Office with the highest level of professionalism and warmth in all interpersonal interactions, both internal and external;
- Demonstrates excellent interpersonal skills, including the ability to work collaboratively;
- A good understanding of the Catholic Church;
- Demonstrated proficiency in English grammar, spelling, punctuation and spoken English language skills;
- Exhibits excellent writing, editing and proofreading skills;
- Demonstrates exceptional attention to detail;
- Ability to ensure absolute confidentiality is maintained in all matters;
- Manage and complete tasks within a deadline;
- Strong organizational skills, able to effectively organize and prioritize competing tasks;
- Maintains a high level of initiative, judgement and discretion when dealing with Archdiocesan clergy and laity, representatives of the larger universal church, and the general public.
- Comprehensive proficiency in Microsoft Office, particularly Outlook, Word and Excel.

Working Environment
- This is a full-time position. Core office hours are 9:00 AM – 4:30 PM;
- It is understood that there may be evening and weekend work in order to fulfill the needs of this position;

- Hourly range: $26.00 - $32.00
